Access that is never reviewed grows until half the company can see everything. A simple plan keeps it under control.
Give people what they need
Define a few roles, such as sales, finance and manager, and give each only what its work needs. Everyone gets their own login, never a shared one.
Review regularly
Check access on a schedule.
- List who has access to each important system every quarter
- Remove accounts that are no longer needed
- Check who holds admin rights
- Record the changes
Act on leavers
Remove access on the day someone leaves, and change any shared passwords they knew. Most insider problems follow a missed step here.
